Area Support Assistant `

You will provide accurate, efficient administration support and diary management to the Area Manager/s. Responsible for the organisation of the Area administration; liaising with customers and colleagues; prioritising tasks, organising meetings, and administering clear communications, in line the with the Area outcomes. You will be expected to work in a flexible proactive manner, with trust and confidentiality. You will adapt to problems and new situations quickly, efficiently managing solutions that simplify and save time for others.

 

What you need to do

  • Demonstrate confidentiality and initiative, whilst taking ownership for the organisation and facilitation of the Area/s administration
  • Provide an exemplary level of service to customers, colleagues, and the Area Manager/s, adjusting personal behaviours and being flexible to meet their changing demands
  • Administer customer and colleague queries for the Area Manager/s through to resolution, escalating important details or issues in a timely manner
  • Manage the Area Manager/s correspondence, drafting communication responses to emails in a timely, accurate and professional approach, responding directly where appropriate within agreed parameters
  • Understand the business outcomes for the Area/s you work on, and work flexibly to accommodate the changing needs of the working environment and workload, prioritising your time appropriately. Supporting administration across the Zone as required
  • Manage the Area Manager/s short- and long-term diary commitments
  • Organising and co-ordinating conference calls, meetings and Area/s functions to ensure required attendance within agreed parameters and budgets. Capturing minutes, actions and follow-up where required
  • Collate, prioritise, analyse and edit information to enable the Area Manager/s to focus on performance outcomes including data for store visits, 121s and meetings, highlighting insights where appropriate
  • Support the administration of talent and capability requirements of the Area/s including administration of myHR within the agreed parameters for the Area Manager/s and Store Managers
  • Support across the Area/s with accurate notetaking, maintaining an accurate record of any required retention documents
  • Prepare presentations for the Area Manager/s, working under the general guidance of the corporate templates and available content
  • Ensure Store Manager payroll, schedules, and holidays are collated and updated in a timely manner, arranging holiday cover and cover for days off for the Area Manager/s when appropriate
  • Plan and manage travel efficiently to deliver Area/s cost lines within agreed expense budgets, ensuring all expenses are actioned correctly whilst complying with the company policy, challenging any discrepancies and highlighting these to the Area Manager/s
  • Administer colleague recognition for the Area/s, including Love It and long service letters
  • Support the arrangement and facilitation of the Area/s Great Place to Work Group Meetings

What you need to know

  • Knowledge of Retail Operations and all processes including performance data
  • Knowledge and understanding of the Retail and Digital outcomes and plans for the Area/s
  • Be able to use digital technology to a confident level
  • Have experience with and be able to demonstrate strong skills of managing administrative processes including myHR and Kronos
  • Show a willingness / eagerness to develop and learn about the wider group and external environment relevant to role
  • The ability to demonstrate engagement and confidently communicate at all levels across the business
  • Be familiar with our people policies and procedures, knowing where to source information
  • Understand how to facilitate meetings effectively and capture key actions
  • A good working knowledge of Outlook, Word, Excel, PowerPoint and other internal software applications
